Student Employees in Black Studies:

The following information is for students who have been hired by the Department of Black Studies. This information does not pertain to students who are seeking out employment opportunities in Black Studies.

We are delighted that you will soon be working in Department of Black Studies! The information detailed below will help you to successfully navigate through the hiring and payroll processes in the Department.  To ensure that your payroll appointment is processed efficiently and appropriately during your time of employment in Black Studies please read and follow all instructions detailed in the two-part process below.


Hiring and Payroll Process

Part I: Permissions and Verifications

For Graduate Student EmployeesBefore we can hire you we must obtain permission to do so from your home department and/or the Graduate Division. Please copy and paste the following list into the body of an email to Ashley Thompson ( athompson@blackstudies.ucsb.edu) and include your answer to each item:

                                    Name of professor you are working for (List First and Last Name): 
                                    Title of your position (Reader, TA, Research Assistant, etc):

When the Department receives your email we will prepare the required verification paperwork and send it to your home department. We will also contact the professor you will be working for to obtain the terms of your employment. Once we receive permission to hire you and the terms of your employment we will contact you via email to alert you that you can now move to Part II of the process, detailed below.  

For Undergraduate and Non-Student Employees: Please copy and paste the following list into the body of an email to Ashley Thompson (athompson@blackstudies.ucsb.edu) and include your answer to each item:

When we receive your email we will contact the professor you will be working for to obtain the terms of your employment. In the meantime, please move to Part II of the process, detailed below.

Part II: Getting a Payroll Appointment & Getting a paycheck

Step 1: 
If you are currently employed on campus and will simply be adding an appointment in Black Studies which will run concurrently with another active appointment on campus you do not need to complete a New-Hire packet. You simply need to download, print, and complete the Department’s Confidentiality Agreement form, Demographic Data Transmittal form, and Employee Data Gathering Sheet from the list of forms at the bottom of this page. Your completed forms must be submitted to the Department of Black Studies main office (located at 3631 South Hall) before your payroll appointment can be entered. If you would like to use work study for this employment you must submit your work study form along with the aforementioned required forms. After submitting the required forms please move to Step 2.

If you are not currently employed on campus or if your current employment will end prior to the start date of your employment in Black Studies you will need to complete a New-Hire packet, even if you’ve worked on campus previously. Please download and print every form from the list below. Please Note: Leave the “Employee ID” field blank on every form in the New-Hire packet. Also, please use the same date for every form. Your completed forms must be submitted to the Department of Black Studies main office (located at 3631 South Hall) before your payroll appointment can be entered. When you come in to submit your New Hire Packet please bring the required I-9 certified documentation proving you are eligible to work in the United States and ask a staff member to make a copy of those documents before you leave. If you would like to use work study for this employment you must submit your work study form along with the aforementioned required forms. After submitting the required forms please move to Step 2.

 

Step 2: 
Report your hours worked using the Department Timesheet:

Please Note: Completed forms must be signed by the employee as well as the faculty supervisor and then submitted to Debra Nash in the Department of Black Studies (located at 3631 South Hall) by the 18th of each month. Timesheets run from the 19th of the first month through the 18th of the 2nd month (example: June 19- July 18). Employees are paid on the first business day of the month. Please refer to the UCSB Salary Scales for the pay rate for your position in Black Studies: http://www.hr.ucsb.edu/compensation/salary-scales

Activate UCSBnetID (for new hires)

New business requirements require that all new hires activate a UCSBnetID and specify their preferred e-mail address for University communications. If you do not already have a UCSBnetID, please be sure to activate a UCSBnetID by using the Identity Manager application at: https://secure.identity.ucsb.edu/manager/

As part of the activation process, you will be prompted to supply information for the UCSB Directory, including your "UCSB E-Mail Address". 

Note that to meet audit requirements this step may not be handled by the PPS preparer or otherwise delegated — you must do this yourself.
